Rent a Driver Tanzania – Rental Policy

Service Type: Car Rental with Driver Only (No Self-Drive)

  1. Booking & Confirmation
  • All bookings must be made via official channels: website, email, phone, or in person.
  • A booking is only confirmed upon payment of a deposit of 40% or full rental fee, depending on trip details.
  • Clients are encouraged to book at least 48 hours in advance, especially for long-distance or cross-border travel.

 

  1. Rental Rates & Inclusions

Rates are charged per day or per trip, and include:

  • Vehicle hire with professional driver
  • Driver’s meals and accommodation (if overnight)
  • Comprehensive insurance and government taxes

Not included:

  • Tolls, ferry charges, parking fees
  • Entry fees to parks or attractions
  • Border crossing fees (if applicable)
  • Fuel
  • Client’s own meals, accommodation, and personal expenses

 

  1. Driver Services
  • All drivers are licensed, experienced, and trained in customer care.
  • Multilingual drivers (e.g. English, Swahili, French, German) are available upon request.
  • Drivers operate the vehicle only; clients are not permitted to drive the vehicle at any time.
  • For safety, drivers are limited to a maximum of 10 driving hours per day with adequate rest.
  1. Vehicle Use & Restrictions
  • Vehicles may only be used for purposes agreed upon during booking (e.g. tourism, business, airport transfer).
  • No off-road driving unless specified and pre-approved.
  • Smoking, carrying illegal goods, or transporting animals (without prior approval) is strictly prohibited.
  • The company reserves the right to change the vehicle in case of mechanical issues or safety concerns.

 

  1. Cross-Border Travel
  • Cross-border travel to Kenya, Uganda, Rwanda, or other countries is available by prior arrangement only.
  • Additional charges apply for:
    • Border clearance documents (COMESA, insurance, road permits)
    • Driver’s per diem and accommodation if extended travel is involved

Clients must inform the company at least 72 hours in advance for international trips.

  1. Cancellations & Refunds
  • More than 48 hours before trip: Full refund minus processing fees
  • 24–48 hours before trip: 50% refund
  • Less than 24 hours or no-show: No refund
  • Cancellations must be in writing (email)
  1. Delays & Force Majeure
  • The company is not liable for delays caused by weather, road conditions, border issues, or other factors beyond our control.
  • In case of mechanical failure, a replacement vehicle will be dispatched as soon as possible.
  • Clients are advised to carry valid identification and travel documents at all times.
  1. Client Responsibilities
  • Treat the driver and vehicle with respect.
  • Comply with all local laws, customs, and traffic regulations.
  • Avoid requesting the driver to engage in illegal or unsafe practices.
  • Notify the company of any issues during the rental period immediately.

 

  1. Insurance & Liability
  • All vehicles carry comprehensive insurance and third-party liability.
  • Insurance does not cover:
    • Loss of client’s personal items
    • Damage caused by civil unrest or natural disasters
    • Illegal or unauthorized vehicle use

 

  1. Payment Terms
  • Accepted methods: cash, mobile money, bank transfer, or credit card (where applicable)
  • Full payment must be received before the trip begins, unless otherwise agreed in writing.

 

  1. Dispute Resolution
  • Disputes will be resolved amicably between the client and company management.
  • If unresolved, the matter will be referred to local authorities or legal arbitration in Tanzania.
